Refund, Cancellation and Withdrawal Policy

01Purpose of the policy
This policy sets out the terms and conditions applicable to requests for cancellation, refunds and withdrawal relating to bookings and registrations made on the website https://diamexmastergroomer.com/.
Diamex Master Groomer organises, amongst other things:
- Pet grooming competitions; ;
- Professional events and competitions; ;
- Workshops and practical sessions; ;
- Seminars and demonstrations; ;
- Courses, training programmes and coaching sessions; ;
- Events open to visitors or spectators.
The applicable terms and conditions depend on the nature of the service, the date on which it is provided and the mandatory rights granted to the customer.
02Confirmation of bookings
Any booking made on the website will be confirmed in accordance with the terms and conditions set out at the time of booking.
A booking is considered final once the required payment has been processed and the booking has been confirmed by the organiser.
Participants are responsible for ensuring that the information they provide at the time of registration is accurate.
As places may be limited, we would ask each participant to check the date, category, venue and terms and conditions carefully before confirming their booking.
03Right of withdrawal
3.1. Tickets for events and leisure activities on a specific date
In accordance with Article VI.53(12) of the Belgian Economic Law Code, the statutory 14-day right of withdrawal does not apply to the provision of services relating to leisure activities where the contract specifies a particular date or period for performance.
This exception applies, in particular, to event tickets and services that meet the legal conditions set out in this provision.
Where a booking falls into this category, the participant does not have the statutory 14-day right of withdrawal.
However, the absence of a right of withdrawal does not deprive the participant of any other rights provided for by law.
3.2. Training courses, workshops and coaching sessions
Vocational training, courses and coaching sessions are not automatically covered by the exemption relating to leisure activities.
Where the statutory right of withdrawal applies to a distance contract concluded with a consumer, the consumer has 14 calendar days from the date the contract is concluded to notify their decision to withdraw, without having to provide any reason.
If the participant expressly requests that the service commence before the expiry of the withdrawal period, the statutory rules relating to the early performance of services shall apply.
Where a service has been performed in full with the consumer’s prior express consent and with the consumer’s acknowledgement that they will lose their right of withdrawal once performance is complete, that right may be forfeited in accordance with the conditions laid down by law.
Where the service has been performed only in part, a proportionate amount may be payable if the legal conditions are met.
3.3. Professional registrations
Where a booking is made by a business or a professional acting in the course of their business, the statutory right of withdrawal available to consumers does not, in principle, apply.
The contractual terms and conditions regarding cancellation and refunds provided prior to purchase remain applicable, subject to mandatory legal provisions.
04Cancellation at the participant’s request
Any request for cancellation must be sent in writing to the following address:
The application must specify:
- The participant’s first name and surname; ;
- The order or booking number; ;
- The name of the event, competition or training course; ;
- The date of the service in question; ;
- The reason for the request, if the participant wishes to provide it.
Where no statutory right of withdrawal or refund applies and no specific commercial terms regarding refunds have been set out, a cancellation initiated by the participant does not automatically entitle them to a refund of the registration fee.
Diamex Master Groomer may, however, consider exceptional requests and, on a discretionary basis, offer a postponement, a rebooking or a partial or full refund.
Any exceptions must be confirmed in writing.
Any specific terms and conditions announced for an event or training course prior to payment shall take precedence over these general terms and conditions where they are more favourable to the participant or where they validly specify the applicable terms.
05Absence or failure to attend
If a participant fails to attend an event, competition, workshop or training course for which a place has been reserved for them, this absence does not automatically entitle them to a refund.
The same applies in the event of late arrival, which prevents you from taking part in the whole activity.
This provision applies subject to any contrary statutory right, more favourable specific terms and conditions, or any fault attributable to the organiser.
06Amending a booking or changing a participant
Any participant wishing to change the date, category or name on their registration may submit a request to Diamex Master Groomer.
The changes are submitted:
- For any remaining places; ;
- Organisational constraints; ;
- The rules specific to the competitions; ;
- Any differences in rates; ;
- Subject to the organiser’s prior consent, where such consent is required.
An amendment shall only be deemed to have been accepted once it has been confirmed in writing.
Consumers’ statutory rights remain unaffected.
07Cancellation of an event by Diamex Master Groomer
If Diamex Master Groomer cancels an event, competition, workshop or training course permanently before it takes place, the participants concerned will be informed as soon as possible.
Where the service booked cannot be provided and no alternative arrangement has been accepted, the amount paid for that service will be refunded in accordance with the applicable legal provisions.
The organiser may offer to reschedule the event or to enrol the participant in another session, but the participant is not obliged to accept a credit note or an alternative booking where they are legally entitled to a refund.
Personal expenses incurred with third-party service providers, such as transport or accommodation, are not automatically covered. This provision does not limit any rights to compensation that may be provided for by law.
08Postponement or significant change to an event
Diamex Master Groomer may need to make changes to certain organisational details, such as a timetable, a speaker or a programme, where circumstances require.
In the event of a postponement or a substantial change to the booked service, participants will be informed of the changes and the proposed alternatives.
Where the amendment constitutes a breach of contract or gives rise to a legal right to terminate the contract, the corresponding rights to a refund shall be honoured.
Participants may contact the organiser to discuss their particular circumstances.
09Exceptional circumstances and force majeure
Certain events beyond the organiser’s control may disrupt the running of an event, including administrative decisions, exceptional security conditions or an unforeseeable and unavoidable inability to organise the event.
In such circumstances, Diamex Master Groomer will inform participants of the measures being considered.
The consequences of a cancellation, suspension or postponement shall be determined in accordance with the applicable legislation and the contractual rights of the parties.
Force majeure does not automatically result in the loss of the right to a refund for a service that has not been provided.
10Refund Policy
Where a refund is due under the statutory right of withdrawal, it shall be made without undue delay and, in principle, no later than 14 days following valid notification of the withdrawal.
The refund will be made using the same payment method as that used for the original transaction, unless the customer expressly agrees to another method that does not incur any additional charges.
As regards other refunds due as a result of cancellation or non-performance, these will be made within the time limits laid down by the applicable legislation, without undue delay.
A refund granted on a purely commercial basis may be subject to specific terms and conditions, which will be communicated to the participant.
11Taking part in competitions and complying with the rules
The grooming competitions organised by Diamex Master Groomer are subject to specific entry rules.
The participant undertakes to comply with the chosen categories, the entry criteria, the timetable, the safety instructions, the animal welfare requirements and the rules governing the competition.
Where a participant does not meet the mandatory requirements set out prior to registration, their participation may be refused in accordance with the law and the relevant regulations.
Any decision regarding a refund will take into account the circumstances and the applicable legal rights.
12Special requests
Diamex Master Groomer recognises that unforeseen circumstances may prevent a participant from attending a booked event.
Applications relating, in particular, to illness, an accident or exceptional circumstances may be considered on a case-by-case basis.
However, the consideration of a claim does not constitute a guarantee of reimbursement where no legal or contractual right provides for such reimbursement.

15Applicable law
These terms and conditions are governed by Belgian law, without prejudice to mandatory provisions protecting consumers, in particular where such provisions apply in their country of residence.
Any dispute will be examined in accordance with the applicable rules on jurisdiction.
16Changes to the terms and conditions
Diamex Master Groomer may amend this policy to take account of legal, organisational or commercial developments.
Changes cannot retroactively remove rights acquired in respect of bookings that have already been confirmed.
The version applicable to a booking is the one brought to the customer’s attention at the time the contract is concluded, unless otherwise required by law.
